I have set up some databases which help manage various types of administrative information.
These databases all use MS Access 2002.
If you have difficulty opening any of these databases then please let me know.
It is no longer possible to open these databases directly from your web browser, instead start
MS Access and open databases from the location shown below.
These databases are all read only, apart from those authorised to update them.
These databases initially open showing a menu system to guide users through the
available functions.

Microsoft Access
is the database software usually recommended for setting up research and admin databases in the University .I have developed applications using various version of MS Access, from version 2 up to
the current MS Access2003 for a number of research projects.
This usually involves creating user friendly interfaces for colleagues to
enter data, randomise patients and also produce up to date reports and updates.
When the data entry is complete and the data has been cleaned, it is usually exported to
SPSS using the OBDC facility or via Excel, in order to carry out the required statistical
analysis.
A useful source of information and contact with other Access users is the Usenet
Newsgroup comp.databases.ms-access. The archives of this group are searchable using the link
to Google below.
There is also a local Mailbase list dbinfo which can be used to
ask for help with database problems. The volume of traffic of this list is very low.
Here are some links to more sites with information about MS Access.

All data containing personal identifiers such as name, address, date of birth, postcode
etc. which is stored at the University MUST be appropriately registered under the Data Protection Act. For the
School of Population and Health Sciences (Public Health Research Group)
we have to register via the Faculty of Medicine.
New forms can be completed and existing forms viewed in the "list of departmental
research data sets" database S:\ph\DATABASES\LIST OF DATASETS\RESEARCH
DATA.MDB for both research data and other administrative data such as student or staff details.
When new forms have been completed please print out and sign them, then pass them on to me
(Ruth Wood) and I will keep a copy and pass them on the the Faculty's Medical Student Office.
There are now a checklist and instructions available as html
here or as a
word document .
Other information about the Data Protection Act, research governance, consent and confidentiality of patient information can be found on the following links.
IMPORTANT: Please avoid storing any identifiable data on shared access directories on turret1.
In general the S: drive is available to share information. Project directories can be set up on the P drive. These project
directories should have limited access to the members of that project team only.
Please check with Juliet or Fraser if you are unsure of the status of a particular directory or
you want to restrict access to a specific group of people.
Please also be aware that any identifiable data stored on your hard drive
(C:) is also accessible to anyone else using your computer unless pasword protected.
More importantly it will NOT BE BACKED UP regularly unless you personally take steps to do so and in the event of the
hard disk failing the data will be lost.

comp.databases.ms-access is quite a high volume Newsgroup, with 200-300 posts per day but there are probably other people asking similar questions, so its worth lurking for a while or checking the archives with Google.
comp.soft-sys.spss only gets 20-30 posts per day, so its much easier to scan down the list of posts and spot any useful information.
Alternatively use the Google service to
search the Usenet archives for old messages dealing with your query.
Please contact me if you need advice in accessing Usenet Newsgroups from Netscape/Explorer.
If you are not familiar with Usenet News and the Internet then please read the relevant
sections of the UCS sheet Rules of Use
